Job Description Summary:

In collaboration with supervisor and other applicable staff this role will be responsible for supporting the planning, execution, and successful delivery of communications projects including the new build of nationalacademies.org. Incumbent will work closely with senior communication professionals, creative teams, and other stakeholders across the National Academies to ensure projects meet business needs, are delivered on time and within budget, and achieve desired outcomes.

Incumbent applies in-depth professional level knowledge to independently solve a full range of complex problems. Applying project management principles, incumbent performs responsibilities requiring the identification and analysis of variables including time, quality, and budgetary factors to recommend the best course of action. Incumbent proceeds on own initiative within project plan and in compliance with National Academies policies, procedures, and practices. They will receive guidance and/or expert advice from supervisor or project team as and when needed.

Job Description:

ESSENTIAL JOB DUTIES:

1. Develops and manages business projects from design and development through implementation. Monitors progress, ensures projects stay on schedule, provides oversight on delegated tasks, and ensures project parameters are met. Measures project performance to identify areas for improvement.
2. Develop and maintain detailed project plans, including timelines, milestones, resource allocation, and risk assessments using Asana and Microsoft Teams.
3. Serves as the primary interface and point of contact for key stakeholders. Liaises between project members, cross-functional teams, and other stakeholders, possibly including external vendors, to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated
4. Forecasts resources needed to reach objectives; manage resources in an effective and efficient manner. Allocates resources, budgets, and hours to the project(s) and adjusts allocations when necessary.
5. Prepares and manages budget based on scope of work and resource requirements; defines staffing and other requirements; tracks project costs in order to meet budget.

6. Utilizes project management best practices, techniques, and standards throughout project execution.
7. Conduct project testing and ensure successful system integration and deployment.
8. Train end-users on new communication technologies and provide ongoing support.
9. Manages stakeholder communications Prepares project presentations and demonstrations. Plans and facilitates project meetings to align the project team to methods and goals. Prepares agendas, meeting notes, and project summaries. Provides project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress.

JOB SPECIFICATIONS

Required Knowledge, Skills, and Abilities:
• Strong understanding of project management methodologies (e.g., Agile, Waterfall).
• Proficiency in project management software (e.g., MS Project, Asana) and communication technologies.
• Proven experience in managing communications technology implementation projects.
• Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
• Ability to work successfully in a team environment.
• Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication.
• Excellent writing and communication skills with a proven ability to effectively interact with all levels of employees.

Minimum Education/Training Requirements: Bachelor's degree in Project Management, Information Technology, Communications, or a related field (Master's degree a plus).

Minimum Experience: 5 years of experience in developing and executing project plans, managing budgets, and mitigating risks.

Physical Capabilities: Ability to work at a computer for extended periods of time.

Required Licenses, Certification or Registration: PMP Project Management certification preferred but not required.

Supervisory Responsibilities/Controls: Reports to Director. Sets objectives with supervisor.

Compensation: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $88,450 - $121,620. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.

Work Environment: Hybrid Office/Telecommute environment, expected onsite percentage 40%, with occasional travel between National Academies’ facilities and to off-site meeting/sponsor locations.
