Job Description

In this role, you will provide comprehensive executive administrative support to a Senior Vice President, ensuring efficient execution of day-to-day operations and strategic priorities. This role combines traditional administrative responsibilities with specialized support across communication, planning, and platform execution to enable leadership effectiveness. Additionally, you will serve as a senior resource across regional support functions, driving consistency, coordination, and high-quality delivery of key initiatives.

Key Responsibilities:

Executive Administrative Support - Core Operations

Manage complex calendar scheduling for the SVP and provide coverage for direct reports as needed. Coordinate travel arrangements, process expense reporting, maintain distribution lists, and oversee ordering, shipping, and invoice management.

Executive Administrative Support - Strategic & Specialized

Oversee integrated calendar management to ensure a clear and consistent "field view" of events, operating rhythms, and leadership priorities. Manage calls owned by the SVP, including Teams meeting setup, presentation support, and facilitation tools. Provide email management support including drafting, tracking, and follow-ups. Execute recognition efforts and support social media presence on behalf of the SVP.

Platform Coordination & Meeting Execution

Plan and coordinate platform-specific meetings, including agenda development, prioritization, and identification of presenters in partnership with leadership (e.g., B42). Gather, consolidate, and align content from internal partners, and coordinate timing and presenter logistics.

Logistics & Event Management

Manage end-to-end logistics for in-person meetings, including venue coordination, hotel accommodations, food arrangements (in partnership with SMM), and related reservations. Ensure seamless execution of all meeting logistics and participant experiences.

Regional Support Leadership & Program Execution

Act as a senior resource across regional support roles (e.g., coordinators, schedulers), helping drive consistency, capability development, and best practices. Conduct audits of executional initiatives and manage deliverables through tracking, follow-up, and consolidation.

Delegation & Administrative Decision Support

Execute delegated responsibilities on behalf of the SVP, as authorized, including select approvals (e.g., expense reviews) and administrative decision-making within defined scope.

Required Qualifications:

  • 3-5 years' relevant experience

  • Associate's degree or equivalent

Preferred Qualifications:

  • Excellent written and verbal communication skills and strong client service orientation.

  • Ability to manage multiple priorities in a fast-paced environment with little or no supervision

  • Proficient with standard business software such as the Microsoft Office Suite of tools

  • Ability to maintain confidentiality and privacy

  • Ability to work with all levels of employees and advisors

  • Ability to handle/maintain private and confidential information in an appropriate manner

  • Some travel required

Base Pay Salary

The estimated base salary for this role is $66,700 - $91,700 / year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role. We also have a competitive and comprehensive benefits program that supports all aspects of your health and well-being, including but not limited to vacation time, sick time, 401(k), and health, dental and life insurances.
