Position Overview: 

The Senior Associate, Talent Management plays a vital role in delivering a seamless and people-first employee experience across all touchpoints of the employee lifecycle. Based in our Chicago office, this position supports company-wide Talent Management processes and serves as the local face of the People Operations team. This dual role ensures both administrative excellence and accessible Human Resources (HR) support for employees and leaders on site and virtual. 

This role is responsible for executing onboarding and offboarding programs, managing HRIS data integrity, ensuring compliance in personnel documentation, and supporting talent programs and transitions. As the dedicated People presence in our Chicago office, the Senior Associate also provides first-line support for employee and manager inquiries, system navigation, policy questions, and workplace culture engagement. This position offers a unique opportunity to blend hands-on coordination with generalist-level employee interaction, paving the way for future HR career growth. 

What You Will Do 

  

Employee Lifecycle Coordination 

  • Manage full-cycle onboarding and offboarding processes for assigned hires, including: 
  • Offer letter preparation and signature tracking. 
  • Background checks and employment verifications 
  • Coordination of equipment requests and new hire logistics with IT. 
  • Scheduling and facilitating orientation onsite and/or virtual sessions. 
  • I-9 processing and E-Verify compliance including Visa and work authorization statuses, renewals, and expiration dates 
  • Support internal transitions, including promotions, seat/position changes, and personnel action forms (PAFs). 
  • Maintain accurate and up-to-date employee records in Paycom, including digital personnel files, acknowledgments, and compensation adjustments. 

Onsite Generalist Support 

  • Act as the first point of contact for Chicago office-based employees and managers regarding general HR questions, system use, and policy interpretation. 
  • Partner with local leadership to ensure an engaging, supportive People experience for onsite staff. 
  • Triage and escalate employee relations, leave of absence, and benefits issues to the appropriate functional teams (People Relations, Payroll & Benefits). 
  • Assist local managers with navigating HR tools and workflows, including Paycom reporting, performance reviews, and policy compliance. 
  • Support employee engagement and office culture initiatives in partnership with the broader People team. 

HR Systems & Technology Enablement 

  • Serve as a subject matter expert (SME) on Talent Management tools including Paycom and the Applicant Tracking System (ATS). 
  • Train hiring managers and internal stakeholders on system workflows and self-service functions. 
  • Ensure data accuracy and integrity across all platforms; conduct audits as needed. 

Reporting, Analytics & Process Improvement 

  • Generate regular and ad hoc reports related to onboarding, transitions, retention, and other employee lifecycle metrics. 
  • Track and monitor various People-related programs to ensure accurate, timely, and compliant payouts. 
  • Identify trends and insights from reporting that inform program improvements and business decision-making. 
  • Participate in continuous improvement projects that simplify and enhance employee lifecycle processes, drive compliance, and improve cross-functional handoffs. 

Cross-functional Collaboration 

  • Collaborate closely with Talent Acquisition, People Relations, Payroll & Benefits, and IT to deliver seamless onboarding and transitions. 
  • Assist in coordinating recruitment logistics and scheduling for local or cross-office roles. 
  • Manage Talent Management-related inboxes and communication channels for internal and external inquiries. 

Other Responsibilities 

  • Provide general administrative support to the Talent Management team. 
  • Ability to travel up to 10% for onboarding support, acquisitions, or special projects, if necessary. 
  • Perform all other duties and tasks as assigned by management. 
  • Must be able to complete all physical requirements of this role with or without a reasonable accommodation. 

Ideally, you'll have 

  • 5+ years of experience in Human Resources, Talent Management, or HR operations roles. 
  • Bachelor’s degree or 7+ years of equivalent work experience preferred. 
  • Experience supporting in-person and/or field-based employee populations, ideally in a high-growth or multi-site environment. 
  • Proven ability to manage onboarding, offboarding, and employee lifecycle processes with accuracy, consistency, and a high standard of execution 
  • Strong relationship-building skills and confidence in serving as a go-to HR contact for employees and managers. 
  • Comfort handling real-time employee needs while maintaining alignment with centralized HR processes. 
  • Meticulous attention to detail—you double-check your work, care about data integrity, and ensure compliance is always top of mind. 
  • Clear, effective communication skills, with the ability to simplify complex information and build trust across teams. 
  • Comfort managing real-time employee needs while aligning with centralized HR processes and systems. 
  • High level of discretion, sound judgment, and commitment to confidentiality. 
  • Service-first mindset with a positive, approachable, and solutions-oriented attitude. 
  • Exceptional organization, time management, and prioritization skills in a fast-paced environment. 
  • Proficiency with HR systems (Paycom, iCIMS preferred), Microsoft Office. 

You'll crush it if you have experience with 

  

  • Experience working with Paycom or similar HRIS platforms to manage employee data and workflows. 
  • Familiarity with change management practices or rolling out new HR processes/tools across departments. 
  • Exposure to real estate, hospitality, property management, or similar fast-paced industries. 
  • Background in supporting people-first cultures or employee engagement initiatives. 
  • Track record of owning or improving administrative systems and tools — and a passion for organizing the unorganized

Base Salary: $95,000–$105,000 annually. Final salary within this range will depend on experience, skills, qualifications, and location.
